Resume sections
References: keep them off the resume unless the form demands names
Leave names, phone numbers, and “references available upon request” off the resume you upload to Workday or Greenhouse. Keep a separate one-page list for when a school, federal, or clearance process asks. Using the resume for references burns space and can expose contacts to every parser in the stack.

Key takeaways
- · Workday and Greenhouse already collect references later, or never. The PDF is for proof of work, not your former manager’s mobile.
- · “Available upon request” wastes a line and tells a parser nothing. Delete it.
- · Keep a dated, consented list offline. Ask before you share. Give referees the job ad so they are not blind-sided.
- · Schools, some federal packets, and clearance forms still want names — usually on a form or a second sheet, not in the Experience heading.
- · After you cut the block, check the parse so you did not delete contact fields you still need.
Names on the resume usually backfire before they help
Key takeaway: A resume is a parseable argument that you can do this job. It is not a directory of other people’s phones.
Recruiters who want references will ask. Many Workday and Greenhouse workflows have a later step, a form, or a background vendor. Putting three managers on page one does not speed that up. It does three other things: it burns lines you needed for a bullet, it puts private numbers into every ATS that stores the attachment, and it invites a recruiter to call someone before you have prepped them.
There is also a fairness problem. If your best referee is still at the employer you have not resigned from, listing them on a public-ish PDF is how a rumor starts. If your best referee is retired and checks email twice a week, a surprise Greenhouse ping is how you lose a reference. Consent first. Timing second. The resume last — and usually never.
Parsers do not have a clean “references” field in every tenant. Taleo may treat a name/phone table as another job. iCIMS may store a referee’s email as yours. That is the same class of miss as contact in a header: the extract hangs data on the wrong person. See what to put on a resume for the inventory that actually belongs on the page, and resume format for the one-column layout that avoids extra tables.
Academic and some international CVs still run longer and may include referees by custom. Even then, a separate page labeled References is cleaner than mixing names into Experience. UK two-page CVs sometimes keep a thin line; US Workday uploads almost never should. Details on CV vs resume: how to write a CV and resume vs CV.
Who actually asks, and when
- K–12 and higher-ed packets that list required referees on a form.
- Federal, state, and some contractor questionnaires with named slots.
- Clearance or suitability packets that want supervisors for dated periods.
- A hiring manager after a successful screen — by email, not because you printed numbers on page one.
If none of those apply this week, cut the block. Use the lines for experience or a summary that names a tool. Enhance CV’s builder does not force a references footer; do not add one from an old Word template.
“Available upon request” is not a field Workday maps
Key takeaway: The phrase uses a line, adds no noun a search can hit, and signals you followed a 1998 template.
Every recruiter knows you can provide references if the process needs them. Writing it down is like writing “email available upon request” under an email that is already in the header. Greenhouse does not score the phrase. Humans skim past it. The opportunity cost is a skill noun or a one-line certification the posting named.
Old advice said the line showed professionalism. What it shows now is unused space. If you are afraid the file looks “unfinished” without it, the file is unfinished because Experience is thin, not because referees are missing. Fix bullets. Do not decorate the footer.
Some applicant forms still have a checkbox: “May we contact your current employer?” That is a form question, not a resume line. Answer it in the tenant. Do not put “do not contact current manager” as a red banner on the PDF unless a counselor has told you to for a safety reason — and even then, a cover note or the form is the right channel, not a table of other people’s mobiles.
LinkedIn recommendations are not resume references. They are a different product. Do not paste three LinkedIn blurbs into the PDF. They will not parse as jobs, and they will not replace a live call. Align titles and dates with LinkedIn; leave the social proof on LinkedIn. See LinkedIn vs resume.
What to keep instead of the phrase
- A private document: name, title, company, work email, phone, relationship, last year you worked together.
- A note on when you last confirmed they are willing.
- The job ad, sent to them before anyone calls.
- Nothing on the Workday PDF except work, education, skills, and contact that is yours.
If a template in Google Docs still ships the phrase, delete it when you export. Same as a decorative font: the template is not the ATS. See Google Docs resume template.
Rewrite weak reference blocks: three before-and-after transforms
Key takeaway: The after versions give the space back to proof. When names are required, they move to a sheet that is not the ATS parse.
These are edits we make constantly. Steal the cut. Do not publish a stranger’s phone number from an example.
Before
References: Jane Doe, Manager, 555-0100, [email protected]; also available upon request.
After
Block deleted. Space used for a bullet: Resolved 30–40 Zendesk tickets per shift with documented CSAT.
Before
Two-column footer: three names left, three phone icons right, “happy to provide more.”
After
Footer gone. Contact remains your email and phone in the body. Reference list lives in a separate .docx titled Lastname_References.
Before
“Dr. Smith will recommend me — see attached letters from 2014.”
After
No letters on the resume. One line under Education if a named fellowship requires a sponsor: “Advisor: Dr. Smith (contact on request to search chair).”
When the form demands names at apply, fill the form. Mirror the same names on a one-page list if they want a PDF. Do not stuff those names into the Experience heading. Do not put them in a table that Taleo reads as a fourth job. For the writing sequence around the rest of the page, how to write a resume.
Teachers and nurses often have district or unit processes that want supervisors. Put those on the district form. The resume still lists license, unit, and tools — teacher resume, nursing resume.
A 10-step playbook: cut the block, keep a private list
Key takeaway: Do the cut on the PDF first. Build the private list the same week so you are not scrambling after a verbal offer.
Forty minutes. Have the job ad only so you do not wander into designing a references letterhead. In the Enhance CV builder, there is no need to add a references section.
- Open the resume and delete any References heading, table, or “available upon request” line.
- Confirm your own email and phone are still in the body, not only in a footer you just removed.
- On a separate document, list 3–5 people who have seen you work: manager, skip-level, peer, client, professor.
- Write relationship and dates you worked together. Work email beats a personal Gmail if they still have one.
- Message each person now, before a recruiter exists: “I am applying to X type of role. Are you willing if someone asks in the next few months?”
- Do not list anyone who did not reply. Do not list your current manager if you have not resigned and they do not know.
- Save the list as Lastname_References.docx, not inside the resume master.
- When a portal asks for referees, paste from that list. Attach the list only if they ask for a PDF of names.
- Send the job ad to the people who will be called. One paragraph of what you want them to remember is kindness, not a script they must read.
- Re-export the resume, select-all, and run the ATS checker so cutting a table did not destroy date order.
Step 5 is the one people skip until Thursday night before a Monday start. That is how referees sound confused. A confused referee is worse than no names on the resume.
If you have no one to list yet, that is a career problem, not a formatting problem. Class projects, clinical preceptors, and volunteer coordinators count. Family members do not, unless the employer is a family business and the posting is honest about that — still awkward, still better on a form than on page one.
Reference choices that belong on a form versus on the ATS file
Key takeaway: If the choice is not in the table: does this posting’s process ask for names today, and will a parser treat those names as a job?
Use this while you export. Templates from 2005 will fight you. Workday will not thank you for the extra table.
Where references belong versus what to keep off the Workday PDF
| Topic | Do | Don’t |
|---|---|---|
| Default ATS file | Zero names, zero “upon request.” | A footer of phones on every Apply click. |
| When asked | Form fields, or a separate one-page list. | Stuffing names under Experience or Education. |
| Consent | Ask first, send the ad, share work contact. | Surprise calls to a current manager who does not know you are leaving. |
| Letters | Let the school’s letter system run. | Scanning 2014 PDFs into the Workday attachment. |
| Layout | One column of your work history. | A references table that Taleo reads as another employer. |
| Recommendations stay on LinkedIn. | Pasting blurbs into the resume as fake bullets. |
Hobbies are a different extra; they have their own test (does this prove a skill in the ad?). References almost never pass that test at apply. See hobbies on a resume if you are clearing the whole extras zone in one pass.
Edge cases: academia, clearance, first jobs, and small towns
Key takeaway: The default stays off the PDF. Only the delivery channel changes when an institution actually wants names.
Academic job. Letters go through Interfolio or the department portal. The CV may list “References available from the search chair” in some fields; follow that field’s custom. Still keep a parseable job/research block for any Workday staff posting at the same university.
Clearance and federal. You will name supervisors for periods. That is a questionnaire. Copy facts from your private list. Do not pre-publish those names on a public job board resume.
First job. A professor, preceptor, or shift lead is a referee. They still do not need to occupy the resume. Your project bullet is the proof at apply; their phone is the proof after the screen. See student resume and internship resume.
Small town / same employer. Listing your current skip-level on a PDF that HR will parse this afternoon is how people get walked out. Use the form’s “contact later” option. Talk to the referee after you have a written process, not before.
International: some countries still expect referees on a CV. If you are applying to a US Workday tenant from abroad, follow the tenant, not the home-country stationery. You can keep a local CV with names for local email applications and a stripped file for Greenhouse.
What to do today: delete the block, confirm your own contact still highlights, build the private list, run the ATS checker. If a table deletion scrambled dates, fix layout before you apply. The Enhance CV home page returns you to the builder and the checker.
FAQ
Should you put references on a resume?
Almost never on the file you upload to Workday or Greenhouse. Recruiters who need names will ask, often in a later form. Putting phones on page one burns space, exposes contacts to every parser, and risks a call before you have consented your referees. Keep a separate list.
Is “references available upon request” still needed?
No. Everyone knows you can provide them. The phrase adds no keyword, maps to no field, and looks like a leftover template. Delete it and use the line for a skill or a certification the posting named.
When do you have to include references?
When the application form, a school packet, a federal questionnaire, or a clearance process demands named referees. Fill those fields or attach a one-page list if they want a PDF. Do not park the names inside the Experience heading of the ATS resume.
How many references should you have ready?
Three is a common ask; five is a comfortable bench if someone is on leave. Mix a manager, a peer or client, and — if you are early career — a professor or preceptor. All must have agreed. Quality of the working relationship beats a famous title who barely knows you.
Can an ATS parse a references table?
It can “parse” it in the sense of extracting text — often onto the wrong fields. Names and phones get treated as another job or as your contact. That is why the table is a liability even when a human would understand it. One column of your work is safer.
Should you include reference letters with the resume?
Not in a corporate Workday or Greenhouse upload unless the posting says to. Letters go through academic systems or a later HR step. Old scanned letters inflate the PDF and look dated. Offer them when a human asks.
What if my only referee is my current boss?
Do not list them on a PDF your employer might see in their own ATS. Use other referees (prior manager, client, professor) at apply. Disclose current-employer contact rules in the form. Talk to your boss when the process is real, not when you are still browsing postings.
Do UK CVs still list referees?
Some still do, often “available on request” or two names on page two. If that CV will be pasted into Workday, strip names for the upload and keep them for email applications that expect UK custom. The parser problem is the same once the file hits a US-style tenant.
Spend the recovered lines on work, in a layout parsers map
Open the Enhance CV builder, drop the references footer, and put the space into a bullet that names a tool. Then score the file against the posting.
