Teacher resume: certification and grade band in the text layer
Put certification, endorsement, and grade band in the first screen as real text. Name the courses or subjects you actually taught. Rewrite duties into outcomes, caseload, and the SIS you used. Then check the parse before you upload to a district Workday board or a charter Greenhouse posting.

Key takeaways
- · State certification, endorsement, and expiration belong in body text — not in a chalkboard graphic or a sidebar badge.
- · Name the grade band and the courses. “Taught various subjects” is not a search term in Workday education.
- · Put PowerSchool, Infinite Campus, Google Classroom, or Canvas under Skills and again inside one bullet you can defend.
- · New teachers lead with student teaching: grade, cooperating teacher’s school, and hours — not a list of every observation.
- · Export selectable text, then check the parse before Apply in Workday or Greenhouse.
Put certification and grade band where a parser looks first
Key takeaway: Principals skim for license, grade, and subject. District Workday search uses the same nouns. If those live in a schoolhouse icon, you are invisible.
A teacher resume is not a generic professional summary with “education” swapped in. The principal is asking three questions before the first bullet: Are you certified for this state and this endorsement? Have you taught this grade band? Can you run the SIS and the curriculum we already bought? District HR running Workday, and charter networks running Greenhouse, run the same search. If the answers sit in a decorative sidebar, the extract comes back empty and you never appear in the certified-candidate filter.
Write the credential in plain text near the top: “Illinois PEL, Elementary Self-Contained (1–6), expires 06/2028” or “Texas Standard, ELAR 7–12, ESL supplemental.” Add the endorsement the posting names — SPED, EL, bilingual, reading specialist — on the same block. Do not bury the license under Education as a footnote. Do not replace the words with an apple icon. Taleo and iCIMS will not OCR a badge on a chalkboard background.
Name the grade band the way the posting names it. Kindergarten, Grade 5 self-contained, Algebra I, US History 11, self-contained ED, push-in EL. Add class size or caseload when you have them: “Grade 3, 24 students” or “caseload 18, resource ELA.” Team lead, mentor teacher, and department chair belong in the title line or the first bullet, not in a personality sentence about loving children. If you looped or departmentalized, say which subjects, or the principal will assume you never left homeroom.
What to copy from a teaching posting — and what not to
- Copy nouns: PowerSchool, Infinite Campus, Canvas, Google Classroom, i-Ready, NWEA MAP, Fundations, Illustrative Mathematics, Wit & Wisdom.
- Copy the grade and course language they used: “Grade 8 Earth Science,” not a vague “middle school science” if they were specific.
- Do not paste the district mission statement or whole sentences from the ad. Parsers do not reward that, and a principal will notice.
- Do not list an endorsement you cannot produce on day one. Greenhouse will not save you in HR credentialing.
Match the title only when it is true. If the posting says “Grade 4 ELA” and your assignment was “Grade 4 self-contained,” you can write “Grade 4 Self-Contained (ELA emphasis).” You cannot invent departmentalized ELA time you did not have. For the writing sequence around one posting, use how to write a resume and tailor a resume to a job. This page stays on classroom proof. Education order for new teachers lives in how to list education.
Give Workday and Greenhouse a layout district HR can map
Key takeaway: District Workday and charter Greenhouse boards extract name, email, certification text, employers, and dates. Two-column “creative teacher” templates drop the endorsement line.
Districts running Workday, and networks running Greenhouse, do not see your resume the way you see it in Preview. They extract text and hang it on fields: name, email, phone, employer, title, start/end dates, education, and sometimes a skills blob. If your PEL line lives in a header, a text box, or a colored sidebar, the extract can come back without a credential. Recruiters then search “PEL Grade 5 ESL PowerSchool” and you are not in the set.
Use one column. Left-aligned. Headings a parser already maps: Professional Experience or Teaching Experience, Education, Licenses and Certifications, Skills. “Classroom magic” and “What I bring to scholars” are pretty and unmapped. Dates belong next to the school: “Aug 2022 – Present.” Long-term sub plus school in the same block so the employment graph does not look like a gap — “Long-term substitute, District 15 / Assigned: Lincoln Elementary, Grade 2.”
Keep contact in the body, not in a running header. Phone, email, city/region, and LinkedIn if you use it. Skip a photo for US district Workday pipelines. For visual rules that apply to every file, see resume format and ATS resume. For Workday field-by-field behavior, Workday resume format is the companion page.
Skills heading: SIS and curriculum, not adjectives
- Group: SIS (PowerSchool, Infinite Campus), LMS (Canvas, Google Classroom), curriculum (IM, CKLA), assessment (MAP, i-Ready).
- Repeat the posting’s SIS once in Skills and once in a bullet. One mention in a footer is easy to miss in Greenhouse search.
- No star ratings for “classroom management.” No skill bars. Workday does not score the bar; a principal does not believe it.
- Calibri, Arial, Georgia, or the Enhance CV system font. Body 10.5–12 pt. Selectable text PDF or .docx.
Test the file the way the ATS will. Select all. If you cannot highlight “PEL” or the email, neither can Workday. Then run the ATS checker against the posting. An ATS resume for teaching is still a classroom argument — it is just an argument that still contains your endorsement after the parse.
Rewrite weak teaching lines: three before-and-after transforms
Key takeaway: Duties describe the assignment. Outcomes describe your room. If a bullet could sit on any Grade 5 resume in that district, it is not finished.
Principals skim for a verb, a grade or course, and a tool they already bought. “Created a warm classroom community” hides all three. Below are three rewrites we use in edits — elementary, secondary, and student teacher. Steal the pattern, not the facts. If you do not have a clean metric, use scope: class size, caseload, IEP count, sections, languages, after-school hours.
Before
Taught math to fifth graders and managed classroom behavior.
After
Grade 5 math, 27 students; daily number talks plus Illustrative Mathematics; office referrals for disruption fell from 11 to 3 in one semester after a 4-step reset with the dean.
Before
Collaborated with parents and staff to support English learners.
After
ELAR 9, two sections with 8–10 designated EL students; held 92% conference attendance using evening slots and a Spanish interpreter; logged contacts in PowerSchool.
Before
Completed student teaching in various grades and learned many skills.
After
Student teaching, Grade 2 self-contained, 16 weeks at Roosevelt Elementary; independently ran Fundations and documented in Infinite Campus under cooperating-teacher co-sign.
Stop at three to five bullets on the current school. Older buildings can take two. A two-page dump of every duty from recess to bulletin boards is how a principal never reaches the line that would have gotten you the interview. For line-level patterns that are not classroom-specific, keep resume bullet points and resume action verbs nearby — and do not borrow nursing or software examples into this file.
Skills belong under a Skills heading as well as inside bullets. If Canvas only appears in a dense paragraph, Greenhouse keyword search can miss it. If it only appears in Skills with no bullet, a principal will ask whether you ran the gradebook or watched a teammate. Do both. Same rule for resume skills and resume keywords: nouns in context, not a footer stuffed with every program in the ad.
A 12-step playbook for one teaching posting
Key takeaway: Do the steps in order. Skipping to a scrapbook template is how people ship a pretty file that Workday stores without a PEL line.
Block two hours. Have the posting, your last resume, and your certificate PDF. If you want a layout parsers already understand, start in the Enhance CV builder and paste facts as you go. Write the summary last.
- Save the posting. Circle certification, endorsement, grade band, course titles, SIS, curriculum names, and any caseload noun (IEP, EL, 504).
- New file (do not overwrite the master). Name, city/region, phone, email in the body. Credential line immediately under contact: state, certificate type, endorsement, expiration if you list it.
- Leave the 3–4 line summary blank until the bullets exist. You cannot summarize evidence you have not lined up.
- Roles in reverse chronology. School, district, city, title (Grade 3 Teacher, Algebra I, Special Education Resource), dates with month and year.
- Under the most relevant school, draft eight messy bullets of work you actually did this year: curriculum, assessment, IEP meetings, family contact, coaching.
- Delete anything that does not help this posting. Keep camp counseling only if you are a new teacher and it proves the same age band.
- Rewrite remaining bullets as verb + grade or course + number or SIS. Read them out loud. If you would not say it in a PLC, the verb is fake.
- Skills block: SIS, LMS, curriculum, assessment, languages. Mirror posting nouns you can defend. No star ratings.
- Licenses as their own heading. Education: degree, institution, year, student-teaching placement if early career.
- Optional extras only if they change the decision: bilingual fluency, coaching sport if the posting names it, National Board if true.
- Export selectable text. Open on your phone. Confirm the email is tappable and the certification line is readable without pinch-zoom.
- Paste resume and posting into the ATS checker. Fix contact, credential, and SIS misses, then upload to Workday or Greenhouse.
People invert step 3. They write “passionate educator dedicated to every child” and the rest of the page is a duty list. Write proof first. The summary should sound like a principal repeating you to another principal: title, years, grade, SIS, one proof point — “Grade 5 teacher, 6 years, Illinois PEL, PowerSchool, i-Ready typical growth tracked each term.”
If you stall on the summary, skip it and return after bullets. You can steal structure, not sentences, from professional summary examples. Do not paste someone else’s MAP scores. Invented percentages are the fastest way to lose a reference check with the last AP.
Do this, skip that
Key takeaway: Most teacher-resume templates optimize for looking warm. Parsers and principals optimize for credential, grade, and proof.
Use this as a desk-side filter. If a choice is not in the table, ask: will Workday store it, and will a principal understand it on a phone at 21:10 after a board meeting?
Parser-friendly vs. parser-hostile choices for teaching files
| Topic | Do | Don’t |
|---|---|---|
| Credential | State certificate, endorsement, in body text near the top. | Apple icon, image badge, or license only on a cover letter. |
| Grade / course | Grade 3, Algebra I, US History 11 — plus class size if you have it. | “Various elementary settings” or “fast-paced campus.” |
| SIS / LMS | PowerSchool or Canvas under Skills and in one bullet. | “Proficient with technology” with no product name. |
| Headings | Experience, Education, Licenses, Skills. | “My why,” “Classroom magic,” icons instead of words. |
| Dates | Month + year beside each school. LTS + site together. | Years only to hide a gap a one-line maternity leave would fill. |
| File | Selectable PDF or .docx named FirstLast_Grade_Subject.pdf. | Scanned certificates as the whole resume, or ResumeFINAL2.pdf. |
Functional resumes that hide school dates under “Instructional skills” still show up in career-change advice. Greenhouse can parse a skills cloud; principals distrust it. Keep chronology. If you are leaving industry for the classroom, see career change resume and still date student teaching. Do not make HR reconstruct when you last ran a gradebook. Gaps get a plain line — details in employment gap resume.
New teacher, SPED, career switch: same method, different proof first
Key takeaway: You only change which classroom proof sits in the first five lines, and how you label substitute or co-teach work.
New teacher. Lead with student teaching: grade, school, weeks, SIS, then education. “Observations:” dumps of six buildings are weak. One placement with class size and Infinite Campus is a bullet. If you have no contracted job yet, pair this page with resume with no experience and student resume. List “license pending, exam passed May 2026” only if it is true. Do not put a future certificate number.
Special education and EL. Caseload numbers, minutes, and the model (resource, inclusion, co-teach, self-contained) belong in the title or the first bullet. “Supported diverse learners” is not searchable. Name the IEP software if you used it (SEIS, EasyIEP) the same way you name PowerSchool. Keep a separate file for a gen-ed posting so you do not look like a misfit when the principal wanted a homeroom teacher.
Career switcher from another field. Keep chronology. Put the teaching credential and student teaching first, then compress the prior career to dates, employer, and one transferable line — not a full sales resume. Two files if you are still applying to the old field. LinkedIn can be broader; the Workday upload cannot.
Substitutes and long-term assignments. Each LTS is a role: district, school, grade, dates. Merging a year of day-to-day subbing into “Substitute Teacher 2024–2025” with no sites looks like a gap in Workday’s employment graph. Keep site names even if the bullets are one line. Coaching and club sponsorships earn a line only if the posting names extra duty or you need proof of presence after school.
What to do next today: pick one posting, run the 12 steps, then score the file. If the checker flags a missing email or a heading Workday will not map, fix that before you rewrite another adjective. The certification line is the first thing to test. Then build in Enhance CV if the layout is still a two-column “creative educator” template from student teaching.
FAQ
What should a teacher resume include for Workday?
State certification and endorsement in body text, grade band or course titles, dates with months, and the SIS you used. Use one column and headings like Experience, Licenses, and Skills so Workday can map fields. Then run a parse check. A pretty sidebar is the usual reason a PEL line never lands in the database.
Should new teachers use a one-page resume?
Yes, for almost every first contract and residency-style posting. One page with student teaching, credential status, SIS, and education is enough. A second page of every observation reads as padding. If you have a prior career, keep only the proof that transfers — see career change resume.
Where do you list PowerSchool or Canvas on a teacher resume?
Under a Skills heading and inside at least one bullet at the school where you used it. “Good with technology” is not searchable. Do not put the SIS only in a header graphic. Greenhouse keyword search and Workday skills fields both read the text layer.
How do long-term substitutes list multiple schools?
One block per assignment: district, school, grade or subject, month–year dates. You can shorten day-to-day subbing to one line with district names, but keep the sites. A single “Substitute” blob with no buildings looks like a gap and slows HR.
Do you put a photo or scanned certificate on a US teacher resume?
Skip the photo for US district Workday pipelines. Do not scan the certificate as the resume. Type the credential. A scanned PDF page is often an image; Workday will not extract PEL or the endorsement from it. Keep the PDF for onboarding, not for the ATS.
How many bullets per teaching job?
Three to five on the current or most relevant school. Two on older buildings. Grade-level chair, IEP case management, and a curriculum you implemented earn a bullet; “made bulletin boards” does not unless you are a new teacher with nothing else. Relevance beats a complete duty list.
Should a career-switcher into teaching keep the old job in full?
Keep certification and student teaching first. Compress the prior career to dates, employer, and one transferable line unless the posting asks for that industry (CTE). Do not hide the new credential under a long sales or military duty list.
How do you check a teacher resume before applying in Greenhouse?
Select-all in the PDF. If credential and email do not highlight, fix the file. Then run the Enhance CV ATS checker against the posting for contact, dates, grade nouns, and SIS gaps. Fix those, then upload. Do not wait for a silent district board to tell you PowerSchool never parsed.
Write the next draft in a layout district parsers already map
Open the Enhance CV builder, keep certification and grade facts, and tighten lines that still read like a job description. Then score the file against the posting.
