What Workday actually extracts into named fields

Jordan Reyes is a registered respiratory therapist applying to “Respiratory Therapist II – Adult ICU nights” on a regional health system’s Workday career site. The requisition lives behind “Apply” and a resume upload. Workday will try to build a candidate record from that file before Jordan ever sees the questionnaire about weekend OT and compact license. If the extract is empty, the recruiter who searches “Epic” and “RRT” in the tenant will not see Jordan. The PDF can still be attached. Search will not.
Here is the field list we watch in edits, because these are the widgets Workday shows after “Use my resume.” First Name and Last Name usually split on the first space — “Mary Ann Reyes” can become First Name “Mary” and Last Name “Ann Reyes,” which then fails background-check matching. Email must be a real address in the text layer, not an envelope icon. Phone should include area code; international applicants should include the country code in the body so the Phone field does not store a truncated local number. Address, when mapped, wants Address Line 1, City, State or region, Postal, and Country as separate tokens. A single line “Austin TX” may fill City and leave State blank, which then blocks submit on tenants that mark State required.
Experience is a repeating widget: Company Name, Job Title, Location, Start Month/Year, End Month/Year, a “I currently work here” checkbox, and a description box. Workday does not need your two-column timeline to look pretty. It needs “St. David’s Medical Center,” “Respiratory Therapist,” “Mar 2022,” and “Present” in an order a parser can tokenize. Education is School, Degree, Field of Study, dates, and sometimes GPA or “currently attending.” Skills become tags. Certifications (RRT, ACLS, BLS, NRP) may land in a Licenses widget or dump into Skills depending on the tenant. LinkedIn URLs in the header are often missed; put the URL as text under your name.
What the parser does not take from the file

Greenhouse, for contrast, also extracts text, but hiring managers usually open the PDF and sourcers type nouns into search. The Greenhouse application often has fewer autofill widgets. Headings, file type, and what belongs in the body

Use one column, left-aligned, selectable text. Standard headings in the language of the country you are applying in: Work Experience or Professional Experience, Education, Skills, Licenses and Certifications if you have them. “Clinical journey,” “Where I thrive,” and icon rows do not map. A simple bullet list under Skills is fine. A nested table that puts Epic in the left column and dates in the right is how PDFs shuffle order — Workday may read the right column first and store your graduation year as an employer.
Dates belong beside the role, month and year: “Mar 2022 – Present” or “03/2022 – Present.” Do not hide them in a thin sidebar. Do not write “2022 to now” in a script font. If Jordan contracted through a staffing agency at the ICU, put the hospital and the agency in the same block so the employment graph does not look like a gap. Workday’s “I currently work here” checkbox should match the word Present in the file. Mismatches create duplicate jobs when the parser splits “St. David’s” and “Night ICU float.”

Select-all is the five-second test
Open the export. Select all. If you cannot highlight Jordan’s email and the March 2022 date, Workday cannot either. Then run the ATS checker so you are not guessing which heading failed. An ATS resume is not a keyword dump; it is a document that still contains contact data after the parse. Greenhouse users will thank you because they search the same nouns. Taleo users will still retype fields — your file still has to be searchable when a recruiter opens the attachment.

Line-level proof still matters after the widgets fill. “Responsible for vents” does not help the ICU night req. “Managed 4–6 ventilated adults per night in Epic, including transport to CT with the charge RN” does. A 14-step Workday click path from career site to Submit

This is the path Jordan follows on the health-system career site. Tenants differ in labels, not in the idea: upload, autofill, confirm, questionnaires, submit. If you prefer to type inside a known-good layout first, start in the Enhance CV builder.
- Open the requisition from the career site, not a random Indeed scrape that may point at a stale req ID.
- Create the Workday account with the same email you put on the resume. A second Gmail is how you lose status emails.
- Choose Apply. If you already exist in this tenant, use the existing candidate — then replace the resume, do not assume the old PDF updated.
- Upload .docx or selectable PDF. Decline “Apply with LinkedIn” if that import has ever emptied your dates; the LinkedIn extract is a different parser.
- Wait for the autofill spinner. Do not click Continue until the Experience list populates or clearly fails — then you know to retype.
- Read First Name / Last Name. Fix splits (“Mary Ann”). Hyphenated last names belong entirely in Last Name.
- Read Email and Phone. If either is blank, the contact was in a header. Cancel, fix the file, re-upload. Do not only type the email into the widget and leave the PDF broken for the next rec.
- Walk each Experience row: employer, title, city, start, end, current-job checkbox. Merge split rows that are the same ICU job.
- Paste or keep the description only if it is still your bullets. Autofill sometimes dumps the whole PDF into one job box.
- Education: school, degree, field, dates. “Currently attending” only if true. Drop a high-school line if the tenant already has your RRT school.
- Skills tags: add Epic, ventilator brands, ACLS. Delete junk tags the parser invented from your address line.
- Complete questionnaires: compact license states, years of adult ICU, night OT, work authorization. Your resume numbers must match the numeric answers.
- EEO and self-ID screens are optional in many US tenants; they are not scored from your PDF. Complete per your comfort and the instructions.
- Review & Submit. Open the confirmation. Then run a parse check on the same file you uploaded so the next req is faster.
Step 7 is the one people skip. They type the missing email into the form and never fix the PDF. The next requisition in the same tenant may “use last application” and resurrect the empty extract. Fix the source file. Taleo shops that force a full retype still store the attachment; a recruiter can open a broken PDF. Greenhouse “Update resume” does not always replace the old file — check the preview after upload, same as Workday.
Workday vs Greenhouse vs Taleo: what changes for the file

Fields Workday still makes you type after a “successful” parse
Key takeaway: Autofill is a draft of the candidate record. The questionnaire is the rest of the application. Both have to agree.
Even when Experience rows look perfect, Workday will still ask questions the resume never contained. How did you hear about us. Employee referral name. Willing to work nights / weekends / call. Years of adult ICU (numeric). Primary EHR (Epic vs. Cerner vs. Meditech as a picklist). Compact license and which states. Previous application to this health system. If Jordan’s resume says “three years adult ICU” and the dropdown is answered “1–2,” a coordinator will trust neither.
Licenses deserve their own widget when the tenant offers it. Put RRT number and state, ACLS expiration month, BLS, NRP. Do not bury them only in a Skills cloud. Some Workday tenants parse “ACLS” into Skills and leave the License section empty — copy the certs into both if the UI has both. Education dates that overlap a full-time ICU job are fine; Workday is not a fraud engine. Gaps still look like gaps to humans. One line in the summary (“2021: full-time RRT program”) is enough.
Internal employees: your worker profile is not your candidate profile. Applying internally still needs a resume that matches the new requisition. Old attachments remain on the candidate. After submit, open My Applications and confirm the file name and the job block. If the tenant shows “Resume parsed with warnings,” read the warnings. They are usually missing dates or an unmapped heading, not a moral judgment.
Name splits, countries, dual files, and intern titles

Two-word first names and hyphenated surnames: put a preferred resume name that matches legal documents as closely as you can, then fix the widget. Background checks match Last Name. Do not put credentials in the Last Name field (“Reyes, RRT”). RRT belongs in Licenses or after the name on the PDF as “Jordan Reyes, RRT” — Workday may still split on the comma. Check it.
Country and phone: a US tenant that requires State will not submit with a blank State even if you live in another country. Use the address UI, not a clever resume line. Phone with + and country code in the body reduces truncated Phone fields. Postal codes with spaces (UK, Canada) sometimes split; type them in the widget exactly as the tenant’s example.
Two attachments: some tenants allow a cover letter and a resume. Put the parse-safe resume in the Resume slot. Do not upload a designed portfolio PDF in that slot. Cover letters are optional in many Workday flows; the resume still has to carry Epic and RRT. If you include a letter, tie it to this ICU req.
Intern and student titles: Workday will store “Respiratory Therapy Intern” as a Job Title. That is fine. Do not relabel it “Respiratory Therapist II.” Dates still need month and year. Can I use my last Workday application instead of a new file?
