ATS and parsers
How to pass ATS: be readable first, then relevant
Passing an ATS is three jobs: a file Workday, Taleo, or iCIMS can parse; nouns from the posting you can defend; and a complete application that matches the resume. Use one column, standard headings, and selectable text. Then walk every autofill field before you submit — a pretty PDF that never stores your email has already failed.

Key takeaways
- · Parse first. If Greenhouse or Workday cannot store email, dates, and employer, no keyword trick will surface you.
- · Put the posting’s real nouns inside bullets you can say out loud — not in a stuffed footer.
- · Finish the ATS questionnaires. Years of WMS or picker volume must match a sentence on the resume.
- · Taleo often makes you retype history; the attachment still has to be searchable when a recruiter opens it.
- · Select-all, then check the parse before Apply. Silence in the portal is usually a blank field, not a mystery algorithm.
Passing ATS is parse, nouns, and a finished application
Key takeaway: The myth is a secret keyword list. The failure we see is an empty email field, then a questionnaire that contradicts the PDF.
Devon works overnight as an e-commerce shopper in a regional grocery chain: phone in hand, store app, 70–90 items a shift, substitutions logged before 6 a.m. The national banner posted “E-commerce Shopper Team Lead” in iCIMS, with a Taleo-shaped history form on some franchise sites and Workday at a hospital side-gig Devon is also considering. None of those systems “decide” in a black box. They extract text, store fields, and let a recruiter search. If Devon’s Canva file puts the Gmail in a sidebar, the extract is empty. Search for “shopper app” returns nothing. That is an ATS fail. It is not a personality fail.
Keywords come second, and only for work Devon can defend. The posting names the shopper app, substitutions, OTIS or similar pick metrics, food safety, and bilingual English/Spanish. Those nouns belong in the overnight role’s bullets. A footer that repeats the whole qualifications block is stuffing. Greenhouse search can even treat that block as noise. Workday Skills tags prefer a “Skills” heading with real tools. For how to place nouns without lying, use resume keywords and tailor the resume to the job.
The third job is the application itself. iCIMS will ask years of grocery e-commerce and whether you can lift 40 lb. Taleo will ask you to retype employers. Workday will autofill and then still ask weekend OT. The numbers you type must match the resume. “Two years overnight shopper” on the PDF and “0–1 years” in the dropdown is how a coordinator closes the file without a human screen. Passing ATS means the database row, the attachment, and the questionnaire tell the same story. If Devon’s store uses a different app name than the banner’s posting, write both: the badge name and the posting’s noun, in one bullet, so search and honesty both survive.
Recruiters are not waiting for a magic score. They type “shopper” and “overnight” and sort by date. You either appear with an email they can click, or you do not. That is why ATS resume advice and this page agree: readable first, then relevant. A 99 on a random online scorer that never saw this grocer’s iCIMS questionnaire is entertainment, not a pass.
What “failed the ATS” usually was
- Contact or dates never extracted — header, image, or two-column shuffle.
- Required questionnaire blank or contradicted the PDF.
- Recruiter searched a noun that exists only as an icon or a skill bar.
- You never submitted: account created, resume uploaded, Continue never clicked.
Give Workday, Taleo, and iCIMS a layout they can store
Key takeaway: One column and boring headings beat a designed flyer that none of the three can file.
Workday wants First Name, Email, Phone, repeating Experience rows (employer, title, dates), Education, and Skills tags. Put those tokens in the body under Work Experience, Education, Skills. Taleo’s older extract is worse with tables: it may read the right column first and store a graduation year as an employer. iCIMS mixes parse with long forms; the PDF still has to be searchable when a sourcer opens it. Greenhouse, if Devon applies to a CPG brand that uses it, is PDF-forward for hiring managers and search-forward for sourcers — same single-column file. Details for Workday widgets live in Workday resume format. Broader parse rules: ATS resume.
File: .docx or selectable PDF. Select-all in Preview. If the overnight dates do not highlight, Taleo will not tokenize them. Fonts: Calibri, Arial, Georgia, or Enhance CV’s system font. No skill bars. No photo in a US grocery pipeline. Dates as month and year beside the job: “Jun 2023 – Present.” “2023–now” in a header text box is how Present never becomes a checkbox. For visual rules, resume format. For PDF vs Word extract behavior, resume PDF vs Word.
Devon’s hospital side-gig Workday wants Epic or Cerner if that work exists; it does not. Do not paste Epic into the grocery file because a blog said “ATS keywords.” The grocery ATS wants the shopper app and food safety. Two target families mean two files. LinkedIn can mention both. The attachment to one requisition cannot.
Three transforms that actually pass a screen
Key takeaway: Fix the extract, then the nouns, then the lie that looks like tailoring.
These rewrites are from grocery-night drafts, not from an ICU or a warehouse lead. Steal the pattern.
Before
A two-column flyer with a phone icon in the left rail and dates only in that rail.
After
Single column. Name, city, phone, email in selectable text, then Experience with “Overnight e-commerce shopper, Jun 2023 – Present.”
Before
Hard worker in grocery. Fast on my feet. Team player. Microsoft Office.
After
Picked 70–90 units per overnight in the store shopper app with a 97% found rate and logged substitutions before 6 a.m. for pickup.
Before
Skills: shopper app, substitutions, food safety, OTIS, bilingual, lead, supervisor, KPI, stakeholder, synergy (copied from the ad).
After
Skills: store e-commerce shopper app, substitutions, ServSafe or store food-safety module, bilingual English/Spanish. Lead scope only in a bullet if Devon has run a huddle.
If Devon has run a five-person huddle when the closer called out, that is the lead bullet — with the crew size. If not, apply as a senior shopper and keep the title honest. For more line patterns, resume bullet points. For the upload confirm step, how to pass ATS is this page; pair it with the checker before you submit.
A 12-step playbook before you click Apply
Key takeaway: Do these in order. Designing last is how people ship a file that iCIMS stores without a phone number.
Timer: 45 minutes including the portal. Have the posting, the master resume, and the Enhance CV export. Build in a known layout if the current file is a flyer.
- Circle the posting’s required nouns and any number (units per hour, crew size, lift, nights).
- Duplicate the master. Name the file Last_EcommerceLead.pdf — not ResumeFinal.
- Contact in the body. Select-all test. Fix headers before you touch adjectives.
- One column, headings Experience / Education / Skills. Delete icon rails.
- Rewrite three to five bullets on the overnight role with verb + volume or app name.
- Skills line from nouns you can defend. No star ratings. No pasted qualifications block.
- Title honest: Overnight e-commerce shopper, plus a parenthetical only if lead work is true.
- Export selectable text. Open on a phone. Email tappable, dates readable.
- Paste resume and ad into the ATS checker. Fix contact and heading misses.
- Create the portal account with the resume email. Upload. Wait for parse or retype in Taleo.
- Match questionnaire numbers to bullets. Lift, nights, years — same story as the PDF.
- Submit. Open the confirmation. If the tenant shows parsed warnings, read them and re-upload.
Step 11 is the silent killer. People parse-check and then rush the dropdowns. Coordinators compare. For Workday-specific widgets after upload, use the Workday format click path. For a general writing sequence, how to write a resume.
Do this, skip that
Key takeaway: Most “beat the ATS” lists add magic words. Systems store fields and humans search nouns.
Desk filter while Devon edits. If it is not in the table: will the grocer’s iCIMS store it, and will a human understand it at 5 a.m.?
What actually passes a grocery or hospital ATS
| Topic | Do | Don’t |
|---|---|---|
| Parse | One column, selectable text, dates beside jobs. | Canva rails, tables as the whole layout, scanned pages. |
| Nouns | Shopper app, substitutions, food safety in bullets. | A footer that clones the entire job ad. |
| Title | True badge; parenthetical only for real lead work. | Shopper Team Lead as a self-promotion. |
| Forms | Years and lift answers that match the PDF. | Optimistic dropdowns “to get through.” |
| Systems | Same boring file for Workday, Taleo, iCIMS, Greenhouse. | A pretty PDF “for humans” and a text dump “for bots.” |
| After | Read autofill / retype, then submit. | Close the tab when the spinner finishes. |
There is no separate “ATS resume” personality. There is a readable file plus a finished form. Cover letters are often optional in these portals; do not spend the hour on a letter while the phone number is still an icon. If you send one, write the cover letter for this banner, not a generic grocery paragraph.
Stuffing, two jobs, and when the ATS is not the problem
Key takeaway: If the file parses and the nouns are true, remaining silence is usually fit, volume, or a req that already has a slate.
Stuffing. Repeating “team lead” twelve times does not create supervision. iCIMS can still store you; the interviewer will ask who you scheduled. Cut the repeats. Keep one crew-size line if it happened.
Two jobs. Grocery lead and hospital patient transport are different files. Workday at the hospital will search Epic; Devon does not have Epic. Do not sprinkle Epic into the grocery resume “for ATS.” The hospital file can emphasize lifting, nights, and customer-facing substitutions as transfer-adjacent — without fake charting.
When ATS is not the problem. The banner hired internally. The req needed 12 months of lead work. Devon applied after the close date. A clean parse cannot reopen a filled job. Check the posting date and the required years before another rewrite. Then ship. The Enhance CV home page returns you to builder and checker. Internal employees: replace the old attachment; last year’s shopper PDF will not mention the huddle you started in March.
Agency and franchise portals add a fourth trap: you parse-check for the banner’s iCIMS, then apply on a franchise Taleo that strips the PDF to an image. Ask which system the req actually uses, or apply from the career site URL in the posting, not a third-party “Easy Apply” that stores a snapshot. If the confirmation page has no email on the profile, you did not pass anything yet — you created an account.
Last pass before Apply: file name with last name and role; phone with area code; one email in the body, none in the footer for the parser to swap. Then submit. Waiting a week to “perfect” the adjectives is how the night-lead req fills with someone whose file was merely readable on Tuesday.
Knockout questions, Easy Apply, and the silence that is not a parser
Key takeaway: Some tenants really do auto-stop you. Most “ATS rejections” are still blank fields, unfinished forms, or a req that already had a slate.
A knockout is a required answer: nights yes/no, lift 40 lb, 18 years of age, driver’s license, “can you work this location.” If Devon cannot work overnights, no parse score will help. Answer the truth. A yes you cannot defend on night one is worse than a skip. Workday and iCIMS store these next to the resume; a coordinator who sees “nights: no” and a PDF about overnight shopper will not schedule you. Taleo knockouts are often on the first page before upload — finish them. Greenhouse may hide them in a custom question after the PDF.
Easy Apply on a job board is not the grocer’s ATS. It can send a snapshot without months or with the email still in a sidebar. Use the career URL in the posting. If you already Easy-Applied, go to the banner’s site, create the real account, and upload the parse-safe file. Status emails from the board are not the same as a Workday candidate ID. When the portal says under review for three weeks, check that your profile has a phone and that the req is still open. Then apply to the next night-lead posting instead of rewriting “team player” again.
If iCIMS shows a parse warning after upload, fix the file the same night. A missing month on the shopper job is a quieter fail than a missing adjective. Workday Confirm is the same rule: First Name, Last Name, email in the body, dates that match the PDF. Greenhouse “Resume updated” is not proof the huddle line landed — open the preview. Then submit. The ATS checker is for the file, not for knockout questions you already answered no on.
FAQ
How do you actually pass an ATS in 2026?
Make the file extractable: one column, standard headings, selectable text, contact in the body. Put posting nouns in bullets you can defend. Complete the portal so questionnaire numbers match the PDF. Then submit. Workday, Taleo, iCIMS, and Greenhouse all fail first on empty fields, not on missing adjectives.
Do ATS systems reject resumes automatically?
Some tenants use knockout questions (license, nights, lift, years). Many “rejections” are just unsearchable files or unfinished applications. Recruiters still search. Your job is to be findable and consistent. A parser is not a hiring manager with a grudge.
Is keyword stuffing the way to beat ATS?
No. Stuffing can make the extract look like spam and still fail the interview. Place real tools and volumes in context. Skills headings help Workday tags. Footers that paste the job ad help no one, including Greenhouse search.
Does a high “ATS score” in a checker guarantee a job?
No. A checker finds parse and overlap gaps. It cannot see knockout questions, internal slates, or whether you can run a huddle. Use the Enhance CV ATS checker to fix fields, then tell the truth in the portal.
Should the resume be different for Taleo vs Workday?
The writing is the same boring file. Taleo more often forces a retype; Workday more often autofills widgets you must audit; iCIMS leans on questionnaires. Greenhouse hiring managers open the PDF. Keep one parse-safe original and tailor nouns per posting family.
What file type passes ATS best?
.docx or a tagged, selectable PDF. Image PDFs and Pages files fail extract. Test select-all. See resume PDF vs Word if a hiring manager will also open the attachment on a phone.
Why was my application “under review” forever?
Often the req is paused, filled, or your contact never parsed so you never entered search. Less often, you are in a large pile with a true fit. Confirm the profile has an email and dates, then move to the next req instead of waiting on a spinner.
Can a two-column resume pass ATS?
Sometimes the PDF attaches. Search and autofill still shuffle columns. Taleo is especially harsh. Use one column for grocery, hospital, and CPG portals. Save decoration for a site the posting did not ask you to build.
Write the file in a layout the ATS already understands
Open the Enhance CV builder, keep your night-shift facts, and export selectable text. Score it against the posting, then finish the portal questions with the same numbers.
