Why two columns look finished and still fail the parse

Most two-column files come from Canva, Etsy, or a Google Docs “modern” template. They look expensive. They fit more on one page. They also draw text at x-y positions a parser does not treat as a human page. The extract can list your entire skills rail first, then your name, then half a job, then a phone number that lived in a colored band. Workday stores that mess as your profile. A recruiter searching “Zendesk” never finds you because Zendesk sat in a text box the extractor skipped.
Greenhouse is not kinder just because a hiring manager can open the original PDF. Recruiters still filter the database. If the parse left the email blank, you do not appear in a contact export. If dates landed under Education, the employment graph looks like a gap. Taleo setups used by large employers often linearize tables top-to-bottom, left-to-right — which is how a left date gutter becomes a paragraph of orphan years before any employer name.
The honest split is two files, not one clever layout. Keep a designed PDF for a portfolio, a conference, or a hiring manager who asked for a visual sample. What “reading order” means in a PDF
- Humans read left column and right column as two related streams. Extractors often finish the left stream entirely, then the right.
- A header or footer is not “the top of the resume.” Many ATS tools ignore running headers, which is where templates hide email and LinkedIn.
- A table cell is not a visual column. It is a box that may dump before or after the next box with no relation to your design.
- Icons for phone and mail are pictures. If the digits are not real text beside them, Greenhouse has nothing to store.
If you only remember one test: open the PDF, select all, paste into a plain text file. That paste is closer to what Workday sees than what you see in Preview. If the paste starts with “Photoshop / Figma / Agile / 2019 / 2021” and your name appears on line 40, the layout is already wrong.
How Workday, Greenhouse, and Taleo actually read a sidebar

Workday’s apply flow is parse-then-form. You upload, it fills First Name, email, job history, education, and a skills bucket if it finds a heading it knows. Greenhouse usually keeps the PDF for the recruiter’s eye and still runs a parse for search and for scorecards. That is why people say “but they can see the design.” They can — after they find you. If the indexed text has no Salesforce, you never make the list. Greenhouse is also why a pretty file can “work” at a 40-person startup (human opens every PDF) and fail at a 400-person company (filters first).
Taleo and several iCIMS configurations are table-hostile. A full-page two-column table — the classic “sidebar in a cell” Word trick — comes out as interleaved fragments. Dates from the left cell sit next to skills from the right cell. The employment history widget then duplicates jobs or drops end dates. Lever is closer to Greenhouse: original file plus a parse. Do not assume Lever will save a sidebar; assume it will try, then scramble.
Where contact and dates usually die
- Colored header bands, especially if the type sits in a shape or a grouped Canva object.
- Footers with “page 1 of 2” plus the only phone number on the document.
- A left rail of dates separate from employer blocks on the right.
- Skill bars, doughnut charts, and icon rows that look like a level of English or Excel.

The resume format rules are boring on purpose: one column, left-aligned, month-year dates beside the role. Boring is what Workday’s field mapper was built for. If you want the visual polish back after you have an interview, send a designed one-pager as an extra attachment only when a human asked for it.
Rewrite the layout: three before-and-after transforms

Stop trying to recover the lost density by shrinking type to 8 pt. A recruiter on a phone will pinch-zoom and close the file. Cut older jobs to two lines instead. Length rules sit in resume length and one-page resume — they assume the page still parses.
A 12-step playbook to flatten a designed file

Block 45 minutes. Have the designed file, the job ad, and a blank single-column document. If you would rather not fight Word styles, start in the Enhance CV builder and paste facts as you go.
- Select-all in the PDF and paste into Notes. Save that paste. It is your evidence of what already breaks.
- Create a new .docx or builder file. Do not duplicate the Canva export and “delete a column.” The table structure remains.
- Type name, city/region, phone, email, and LinkedIn URL as normal paragraphs at the top. No shapes, no header tool.
- Add headings as real styles or plain bold text: Summary (optional), Work Experience, Education, Skills. Words Workday already maps.
- For each job, one block: employer, title, city, month–year dates. Copy dates from the paste, not from the pretty gutter if they disagree.
- Paste bullets under the right job. If the paste interleaved two jobs, split them by employer name before you polish.
- Build Skills from words you can defend, including every tool that used to live only in the sidebar.
- Education: school, degree, year. Licenses as text. No diploma icons.
- Delete skill bars, photos (unless the country process truly requires one), QR codes, and “references available.”
- Export selectable PDF or keep .docx. Open on a phone. Confirm the email is tappable and dates sit next to titles.
- Paste resume plus job ad into the ATS checker. Fix missing contact and heading mismatches.
- Upload to Workday or Greenhouse. Read every autofilled field. If email is blank, the flatten failed — do not submit.
Step 2 is the one people skip. Duplicating a two-column Word table and dragging the left cell empty still leaves a table. Workday will still linearize cells. A new document with paragraphs is slower for ten minutes and cheaper than a silent reject.

Creative roles still need a parseable apply file. Art directors can link a Behance or personal site in the contact line. The Workday attachment should not be the portfolio. If a studio asks for a designed CV by email, send both: parseable for their HRIS, designed for the creative director. Edge cases: Canva, creative jobs, photos, and EU tables

Canva. Download as PDF and immediately select-all. If type does not highlight, use “print to PDF” from a text-based export, or rebuild in Word or Enhance CV. Grouped objects are the usual reason contact dies.
Graphic design, UX, marketing. Two artifacts. The apply system gets the single column. The hiring manager can get a designed one-pager if they ask, or they click your site. Putting the whole portfolio inside a two-column resume helps neither parser nor art director.
Photo. US Workday pipelines: skip it. DE/AT/CH processes may still expect a photo — put it in a separate header only if you must, and duplicate name and contact as text in the body so the parse still works. Never make the photo the only thing in the left column.

You can upload one. You should not rely on it. Workday often skips header contact and linearizes sidebars so dates and employers split. A single column with standard headings is the reliable apply file. Keep the designed version for humans who asked for it.
Does Greenhouse read two-column resumes better than Workday?
Greenhouse usually keeps the original PDF for the recruiter and still indexes a parse for search. If the parse misses tools or email, you never make the filtered list. It is friendlier to the eye, not safer for database search.
Are tables always bad on a resume?
A full-page table used as two columns is the usual failure. A short, simple list under Skills is fine. Nested cells, date gutters, and Word text boxes are how Taleo and iCIMS scramble order.
Can I keep a sidebar if I export .docx instead of PDF?
