Resume templates that survive an ATS parse
Pick a resume template that keeps email, dates, and skills as selectable text in one column. Workday and Greenhouse map standard headings; they do not map skill bars, text boxes, or a navy sidebar. Fill the template with proof for one job, export .docx or a tagged PDF, then check the parse before you apply.

Key takeaways
- · A template is a container. If you cannot highlight the email in Preview, Greenhouse cannot store it either.
- · Skip two-column, infographic, and icon-heavy files. Taleo and iCIMS drop fields from those layouts first.
- · Google Docs and Word are fine when you delete the sidebar and keep Work Experience, Education, Skills as words.
- · Fill with one job’s nouns, not with every badge the template left as a placeholder.
- · Export selectable text, then check the parse before you upload to Workday.
What a resume template must keep as real text
Key takeaway: Parsers extract strings, not design. If the template turns contact or dates into graphics, the record in Workday is empty.
A resume template is not a personality quiz. It is a set of boxes. Workday, Greenhouse, Taleo, Lever, and iCIMS try to hang those boxes on name, email, phone, employer, title, dates, and school. If the template puts your email in a header frame or behind an icon, the extract can come back blank. Recruiters then search the database and you are not there.
Selectable text is the first test. Open the template, type a fake email, export, select-all. If you cannot highlight it, throw the file away. A pretty Canva export that looks sharp on Instagram is often a flattened picture. iCIMS cannot search a picture.
Standard headings are the second test. The file should already say Work Experience or Professional Experience, Education, Skills. Templates that greet you with “About me,” “Superpowers,” or a row of icons fail the mapping step even when the rest is clean. You can rename headings in five seconds. Many people never do, and Taleo files the whole block as unknown.
One column is the third test. Sidebars look “professional” in the gallery. They are the usual reason Greenhouse concatenates skills into your name field. For the layout rules behind this, use resume format. For why the rail fails, see two-column resumes and ATS.
What you can keep from a pretty template
- A slightly larger name. That is still text.
- Consistent bullets and 10.5–12 pt body type. Calibri, Arial, Georgia, or the font in Enhance CV.
- A short skills line under a real Skills heading — words, not stars.
- Optional: a thin horizontal rule if it is a line, not a text-wrapping shape.
What you cannot keep: skill meters, doughnut charts, photo banners in US private-sector files, QR codes, and a second column that holds contact. Creative directors still send a designed PDF to a human by email. The file that goes into Lever is the boring twin. Do not pretend they are the same document.
Templates that fail Workday and Greenhouse — and why people still pick them
Key takeaway: Galleries rank by how the thumbnail looks, not by whether Taleo can store a start date. Rank the other way.
Infographic templates win clicks because they look finished. They lose jobs because dates live in a gold circle. A hiring manager might forgive a circle. A parser tokenizes “2019” next to a clip-art book and stores nothing. If you teach kindergarten, the circle does not make TS Gold appear in search.
Two-column “modern” templates put skills on the left and jobs on the right. Workday often reads top-to-bottom, so the extract starts with a skills dump and never aligns employers to dates. You look unemployed in the database even when the page shows a current GM role.
Google Docs gallery files are mixed. Some are single-column and fine. Some inherited a blue sidebar from 2018. You can delete the sidebar; most people recolor it. Google Docs resume templates walks through which ones survive. Word’s “elegant” themes have the same trap: a header table that looks like stationery and drops the phone.
Icon packs next to email and LinkedIn look tidy until the icon is an embedded image and the address is a tiny text box. Greenhouse keeps the icon. It does not keep the address. Type the words Email and the actual address. No envelope drawing.
A 30-second gallery filter
- Reject anything that shows a photo by default unless the country and the role require one.
- Reject skill bars, timelines with dots, and “personality” color blocks that wrap text.
- Keep files that look slightly boring: one column, black text, clear dates on the job line.
- If the preview needs a legend to explain the layout, the ATS will not get a legend.
Paid “ATS-friendly” packs on marketplaces are not a guarantee. Sellers screenshot Word. They do not run Taleo. Trust select-all and the ATS checker, not a badge on a product page.
Rewrite what templates encourage: three before-and-after transforms
Key takeaway: Placeholders train you to write captions. Recruiters need proof. Swap the template language for nouns from the posting.
These rewrites start from real template sins — teacher, grocery operations, bookkeeping. Steal the pattern. The template is fixed when headings map and the line would still make sense pasted into a Workday field.

Notice nobody invented a promotion. The template change is: kill the sidebar language, put dates on the role, name the tool. For more line patterns after the container is safe, use resume bullet points and how to write a resume.
If the template left lorem ipsum in a “Projects” block you do not need, delete the block. Empty headings confuse mapping. A Skills heading with three defendable nouns beats a Projects heading with dummy text that survived export.
A 12-step playbook: pick a template and fill it without breaking the parse
Key takeaway: Choose the container first. Filling a hostile file and then “cleaning it up” is how people ship the same sidebar in a new color.
Block two hours. Have the job ad, your last resume, and a notes app. If you want to skip marketplace roulette, start in the Enhance CV builder — the layout is already one column with mapped headings.
- Open three candidates only: Enhance CV, a simple Google Doc, or a Word file with no sidebar. Close the rest of the gallery.
- Type a dummy email and a dummy date. Export. Select-all. If either does not highlight, that candidate is dead.
- Rename headings to Work Experience, Education, Skills. Delete About me, Superpowers, References, and icon rows.
- Put name, city/region, phone, email, LinkedIn in the body. No header text box. No envelope icon.
- Paste jobs newest first. Company, title, city, month–year on the same block as the bullets.
- Steal nouns from the posting you can defend: TS Gold, UKG, QuickBooks Online — not “Microsoft Office Suite” as a blob.
- Delete every unused placeholder (second phone, website, photo frame, language bar you cannot prove).
- Set body 10.5–12 pt, one font, consistent bullets. Nothing below 10 pt to “make it fit.”
- If the template still has a table as the page, convert it to paragraphs. Tables-as-layout scramble Lever.
- Export .docx or selectable PDF. Name it FirstLast_Role.pdf, not Template7_final.pdf.
- Open on a phone. If you pinch-zoom to read dates, the template is too dense even if it parsed.
- Paste the resume and the job ad into the ATS checker. Fix contact and heading misses, then upload to Workday or Greenhouse.
People invert steps 2 and 6. They write beautiful bullets inside a Canva frame, then discover the PDF is an image. Do the highlight test before you write. The writing is wasted if Taleo never sees it.
If you already applied with the pretty file, do not assume Workday replaced it. Many portals keep the first attachment. Upload again, open the preview, and confirm the new one-column file is what the recruiter will open. Details: how to upload a resume to Workday.
Template choices: do this, skip that
Key takeaway: Optimize for fields the ATS can store and lines a human can finish on a phone. Looks are optional after that.
Use this while you shop. If a marketplace thumbnail would not survive select-all, it is not a professional template. It is a poster.
Parser-friendly vs. parser-hostile template choices
| Topic | Do | Don’t |
|---|---|---|
| Source | Enhance CV, a plain Google Doc, or Word with no sidebar. | Canva infographic packs, “modern two-column” marketplace files. |
| Columns | One column, jobs in reading order. | Skills rail, photo rail, or a table as the whole page. |
| Headings | Work Experience, Education, Skills as words. | About me, icons, or headings baked into a banner image. |
| Skills | Named tools in a list or in bullets. | Star ratings, meters, or doughnut charts. |
| Contact | Email and phone as text in the body. | Header frames, icon-only rows, contact only in the footer. |
| Export | Selectable PDF or .docx named FirstLast_Role.pdf. | Flattened PNG-in-PDF, .pages, ResumeTemplateFINAL3.pdf. |
Industry exceptions are narrower than template sellers claim. A theater resume still needs dates a human can read when it is uploaded to a company iCIMS. Attach the designed leave-behind separately if a director asked for it. The portal file stays boring.
Internal transfers use the same table. A new requisition in Greenhouse does not magically understand last year’s sidebar. Give it a template that maps. Pair this with an ATS resume pass so extraction and container match.
When a designed file is allowed — and how to keep a parser twin
Key takeaway: Two files beat one pretty file. Humans can get a designed PDF by email. The ATS gets the twin that still contains your email.
Keep a designed version only when a human asked for it: a creative director, an architecture studio that specified a portfolio PDF, a photography job that wants a visual leave-behind. Even then, the application portal is usually Workday or Lever. Upload the twin.
The twin is not a different career. Same jobs, same dates, same nouns. Different container: one column, no text boxes. If you update a bullet on the pretty file and forget the twin, the recruiter in Taleo reads last month’s story. Update both or drop the pretty file.
Country rules sit on the template too. US private sector: no photo in either file. Some EU and LATAM processes still want a photo — put it as a small image, not a header that covers the name. Type the name as text. German tabellarisch can look like a table without being a Word table that breaks parse order.
Student and career-change templates that hide dates under skill clouds are still a bad idea. Humans distrust them. Keep chronology and add projects — see career change resume. The template should not argue with that.
What to do this afternoon
- Pick one posting. Close the 40-template tab.
- Fill a one-column file. Three to five bullets on the most relevant job.
- Run select-all and the checker. Then apply.
- If you need a designed leave-behind, make it after the portal file is done, not before.
The Enhance CV builder exists so you are not fighting placeholders. You can still paste from an old Word file. You should not paste from a flattened Canva PDF and hope the text comes along.
Fill the template without reintroducing parser traps
Key takeaway: The usual failure is not the download. It is the extra box you add “to stand out” after the file was already safe.
After a clean template is filled, people add a colored header, a second phone in the footer, and a skills bar they saw on LinkedIn. Each add-on is a new way for Greenhouse to drop a field. Stop when the posting’s nouns are in context and contact highlights.
Copy-paste from LinkedIn into Word often brings hidden tables. Paste as plain text, then apply the template styles. If dates jump to a new column by themselves, you imported a table. Undo. Type the line.
File type: .docx is the friendliest for older Taleo. Tagged PDF is fine for most Greenhouse portals if you can highlight a word. The posting wins if it specifies one. Do not send .pages. Apple’s format is not what iCIMS expects.
Name the export like a queue: FirstLast_Bookkeeper.pdf. Recruiters see filenames. Template7_fix.pdf looks like you are still drafting. Pair the name with the role you want, not with the template brand.
Last check: open the portal preview after upload. Workday sometimes shows a parsed snapshot that is missing the email you can see in Preview on your laptop. If the snapshot is wrong, the template still failed. Rebuild in the builder, do not tweak opacity on the old file.
FAQ
What is the best resume template for ATS in 2026?
A single-column file with standard headings, dates beside each job, and selectable text. Enhance CV, a plain Google Doc, or a simple Word document all work if you skip sidebars and skill bars. Workday, Greenhouse, and Taleo can map that. Infographic and two-column marketplace templates are the ones that most often drop email or dates.
Are Google Docs resume templates ATS-friendly?
Some are. The gallery includes one-column files that parse and older files with a blue sidebar that do not. Delete the sidebar, keep headings as words, and run select-all after export. Then check the file against the job ad. A Docs template is only as friendly as the layout you leave behind.
Can I use a Canva resume template in Workday?
You can upload the PDF. You should not rely on it. Many Canva exports flatten text boxes into images, which is how iCIMS stores no email. If you design in Canva, copy the words into a one-column builder or Word file and export selectable text. The pretty file can stay for a human email if someone asked for it.
Do I need a paid resume template?
No. Paid does not mean the parser can read it. Marketplace “ATS-friendly” badges are marketing. Trust a highlight test and a parse check. A free one-column file that keeps ADP, UKG, or QuickBooks in real text beats a $12 infographic that looks finished and stores three words.
Should a resume template include a photo?
Follow the country. In the US, skip photo, age, and marital status. In some EU and LATAM processes a photo is still common — and still risky if it sits in a header image Workday cannot parse as text. Never let the photo be the only place your name appears. Type the name.
Is a two-column resume template OK for Greenhouse?
It is a gamble. Greenhouse and several Taleo setups read columns in an order you did not intend, which is how phones and emails vanish. A single column is the reliable template. Save decorative layouts for a portfolio site the posting did not ask you to upload.
How do I convert my current template into an ATS-friendly one?
Do not recolor it. Create a new one-column file, paste facts as plain text, restore Work Experience / Education / Skills, and put dates on each role. Delete skill meters and icon contact rows. Export selectable text, then run the Enhance CV ATS checker before you apply.
What file type should I export from a resume template?
Use .docx or a tagged PDF you can highlight. Older Taleo setups often prefer Word. Many Greenhouse portals accept PDF if the text is real. Follow the posting if it specifies one. Avoid .pages and image-only scans. Name the file FirstLast_Role, not the template’s original filename.
Start from a layout parsers already understand
Open the Enhance CV builder, keep your facts, and drop the decorative blocks the old template added. Then score the file against the posting.
